Contract Duration: One (1) year, renewable based on performance
Positions Available: Two (2)


Position Overview

Africa Health Sciences University (AHSU) is seeking two highly organized, proactive, and professional Administrative Assistants to provide comprehensive administrative and academic support to senior leadership within the School of Medicine and Postgraduate Medical Education (PGME).

The successful candidates will play a critical role in coordinating academic, administrative, governance, and research-related activities, ensuring operational efficiency, regulatory compliance, and continuity of academic programs. One position will support the Dean of the School of Medicine, while the other will support the Chair of PGME / Director of Research.


Key Responsibilities

1. Administrative Coordination

  • Manage correspondence, calendars, schedules, and appointments for assigned senior leadership.

  • Coordinate academic, governance, and administrative meetings, including councils, boards, committees, and assessment panels.

  • Prepare meeting agendas, minutes, action trackers, and follow-up documentation.

  • Maintain well-organized academic and administrative records and filing systems.

  • Assist in organizing academic events, workshops, examinations, and official visits.

  • Coordinate communication between departments, faculty members, and university leadership.

2. Academic & Program Support

  • Support documentation processes related to curriculum development, approvals, accreditation, and regulatory reporting.

  • Track key academic deadlines, submissions, accreditation requirements, and evaluations.

  • Support research-related documentation and coordination (where applicable).

  • Assist with faculty development activities, resident coordination, and monitoring of academic programs.

3. Reporting & Monitoring

  • Prepare periodic administrative and academic activity reports for management review.

  • Proactively flag operational issues and ensure timely follow-up on action items.

  • Support the implementation and adherence to institutional policies and procedures related to academic administration.


Minimum Qualifications

  • Bachelor’s degree in Administration, Business Administration, Education, or a related field.

  • Minimum of 2–3 years of relevant administrative experience, preferably within academic, clinical, or research environments.

  • Proven experience in meeting coordination, record-keeping, and report preparation.

  • Proficiency in Microsoft Office applications and familiarity with academic or administrative management systems.
