Project Casual Worker – KOICA Project
World Vision Rwanda is a child-focused Christian humanitarian organization operating long-term development programs in 30 districts across the country. In our 2026–2030 strategic plan, we aim to positively impact 2.5 million of the most vulnerable children through interventions in Child Protection, Education, Nutrition & WASH, and Poverty Alleviation (Resilience and Livelihoods).
With support from KOICA, World Vision Rwanda is implementing the UPG II Project in Rutsiro District from March 2025 to December 2027. The project focuses on reducing extreme poverty among women-headed households using the UPG model. The expected outcomes include:
300 newly identified ultra-poor households improving food security and social inclusion through strengthened livelihood skills.
299 previously graduated households advancing their livelihood capacities for long-term resilience.
To meet KOICA’s strict financial documentation requirements—including organizing, scanning, and submitting financial records to World Vision Korea and subsequently KOICA—we are seeking a Project Casual Worker to support the Project Accountant with document preparation and compliance tasks.
Activity Objectives
The Project Casual Worker will support the Accountant in ensuring that KOICA-required financial documentation is:
Collected, organized, scanned, and sent to Korea in a timely manner.
Complete, accurate, and properly archived for future audits and reference.
Managed efficiently to reduce delays and minimize errors in monthly financial submissions.
Compliant with KOICA and World Vision financial documentation standards.
Key Deliverables
Monthly collection of financial documents (vouchers and payment evidence) from the National Office (Kigali) and Tunga Cluster Office.
Complete, well-organized PDF files of all scanned financial records submitted to Korea.
A monthly summary report outlining gathered, scanned, and submitted files, including follow-up needs for missing or incomplete documents.
An updated and well-structured digital filing system (folders/subfolders) on the project drive for easy retrieval during KOICA and internal audits.
Primary Responsibilities
Collect payment documents (invoices, attendance sheets, IDs, training participant lists) for project activities.
Assist in preparing participant payment documentation for meetings and trainings.
Gather and file all payment vouchers and supporting evidence from both the Cluster Office and National Office.
Scan and compile vouchers and payment evidence into organized PDF files and forward them to World Vision Korea.
Support the collection of distribution lists for purchased items allocated to project beneficiaries.
Maintain an organized and traceable digital financial filing system for audit readiness.
Work with the Project Accountant to conduct periodic checks ensuring the completeness and accuracy of financial documentation.
