SOS Children’s Villages Rwanda is a member of the global SOS Children’s Villages International Federation, which brings together more than 130 national associations.

In Rwanda, the organization focuses on building stable families for children who are neglected, abandoned, or orphaned, empowering them to build a better future and supporting community development initiatives. To strengthen its operations, the National Office based in Kacyiru, Kigali, is seeking a qualified Procurement Coordinator to support the Children in Street Situation Project.


Position Summary

The Procurement Coordinator, reporting to the Procurement Officer, will support the efficient and timely procurement of goods and services required for project implementation. The role ensures uninterrupted supplies in accordance with the procurement action plan while promoting a client-oriented, transparent, and results-driven approach.

The incumbent will oversee the end-to-end procurement processes for goods and services under SOS Rwanda contracts.


Key Duties and Responsibilities

The Procurement Coordinator will be responsible for:

Procurement Planning and Coordination

  • Ensuring adherence to approved procurement plans and monitoring procurement activities for both location and project levels.

  • Coordinating and tracking the timely delivery of goods, equipment, and services under signed contracts.

  • Maintaining ongoing communication with suppliers to ensure that contract obligations are respected.

Supplier and Stakeholder Engagement

  • Keeping regular contact with all relevant parties to ensure accurate, complete, and up-to-date procurement information.

  • Liaising with project and administrative staff to address supplier inquiries related to specifications, quantities, delivery schedules, and other procurement matters.

Quality Assurance and Compliance

  • Monitoring the quality, quantity, efficiency, and cost of procured goods in line with SOS Rwanda’s quality assurance policies.

  • Supporting the development of product specifications, quantification, and forecasting for procurement needs.

Documentation and Reporting

  • Maintaining detailed procurement monitoring tools, tracking tables, and progress reports as required.

  • Drafting correspondence and communicating effectively with external entities connected to procurement activities.

Additional Duties

  • Performing any other tasks that contribute to effective procurement and supply chain management.

Qualifications and Experience

Education

  • Bachelor’s degree in Procurement, Logistics and Supply Chain Management, Finance, or a closely related field.

  • Professional certification or training in Procurement and Supply Management (PSM) is an added advantage.

Work Experience

  • Minimum of 2 years of progressive experience in procurement and administrative functions.

  • Experience in procurement regulations and tendering procedures.

  • Proven expertise in supply chain or logistics management systems.

  • Experience in quantification and forecasting.

  • Proficiency in MS Word, Excel, and other office software packages.

  • Ability to manage large volumes of information with accuracy.

  • Strong analytical and organizational skills.

  • High initiative and willingness to handle diverse responsibilities.

  • Ability to work independently and meet strict deadlines.

  • Excellent written, verbal, and presentation skills.
